ABMEC Conference Terms and Conditions

  1. General

1.1. These terms and conditions apply to all participants registering for or attending the ABMEC Conference and Exhibition 2026 (“Conference”) organised by ABMEC Partners Ltd (“Organiser”).

1.2. By registering for the Conference, you agree to be bound by these terms and conditions.

1.3. If you are registering on behalf of another individual, it is your responsibility to ensure the person participating is aware of these terms and accepts them. By completing the registration on behalf of another individual you are warranting that you have made the participant aware of these terms and that they have accepted these terms.

  1. Registration and Payment

2.1. All attendees must register through the official registration process.

2.2. Payment must be made in full upon receipt of an invoice unless otherwise agreed in writing.

2.3. Registration is confirmed only upon receipt of invoice. An email confirmation will be sent to the email address provided during registration.

2.4. If donating a ticket to a Student, Early Career or Apprentice you are in no way liable for their additional costs.

2.5. All prices indicated on the registration form and sponsorship details are without Value Added Tax (VAT).

2.6 Payment may be completed via PayPal where requested. As PayPal issue transaction fees this will be passed on to the registrant at 1.25% of the transaction and an updated invoice will be issued. Please note that the 1.25% is the lowest transaction fee we were charged in the 2025 Conference and we are not profiting in anyway on this charge. 

  1. Cancellation and Refund Policy

3.1. Cancellation requests must be made in writing to enquires@abmec.org.uk.

3.2. Refunds will be provided according to the following schedule:

  • More than 30 days before the event: Full refund.
  • 15–30 days before the event: 50% refund.
  • Less than 15 days before the event: No refund.

3.3. Failure to attend the event on the day will constitute late cancellation, in which case no refund will be given.

3.4. Substitutions within your organisation are allowed at no additional cost. Please notify the Organiser in writing via email stated in 3.1. no later than 24 hours before the start of the event

3.5. The Organiser reserves the right to cancel or reschedule the event. In such cases, a full refund will be offered, but the Organiser is not liable for any other costs incurred by the registrant.

  1. Event Program

4.1. The Organiser reserves the right to make changes to the program, speakers, venue, or schedule without prior notice.

4.2. Every effort will be made to ensure the published program is delivered as scheduled.

  1. Code of Conduct

5.1. All attendees are expected to behave professionally and respectfully. Harassment, discrimination, or inappropriate behaviour will not be tolerated.

5.2. The Organiser reserves the right to take appropriate action, including expulsion from the event, without refund, for any misconduct.

  1. Liability

6.1. The Organiser shall not be liable for any personal injury, loss, or damage to property arising out of or in connection with participation in the Conference.

6.2. Attendees are responsible for their own belongings and travel arrangements.

  1. Privacy

7.1. Personal information provided during registration will be used solely for event management and communication purposes.

7.2. Your name, role and company you work for will be provided as an attendees list for those attending, sponsoring and exhibiting at the Conference. Should you wish your name and details to not be included please email enquiries@abmec.org.uk.

7.3. The attendee list may not be reproduced, copied or disseminated by the registrants in any way. It is solely for your individual, personal and confidential reference. Use of the data in the attendee list to send unsolicited marketing e‐mails (“spam”) is not permitted.

7.4. By registering for the event you agree to be contacted about future events that the Organiser runs that may be of interest to you.

7.5 Attendees may be photographed or recorded during the event. These materials may be used by the Organiser for promotional purposes. If you do not wish for your photograph to be used, or image recorded, please let the organisers and photographer/videographers know. Once informed we will apply all reasonable endeavours to respect your request.

  1. Force Majeure

8.1. The Organiser shall not be liable for any delay or failure to perform any obligation under these terms due to events beyond its reasonable control, including but not limited to natural disasters, war, labour strikes, or pandemic-related restrictions.

  1. Governing Law

9.1. These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.

9.2. Any disputes arising in connection with these Terms and Conditions or the Conference shall be subject to the exclusive jurisdiction of the courts of England and Wales

  1. Data Protection

10.1. The Organiser is committed to protecting the privacy and personal data of all participants in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR), where applicable.

10.2. Personal data collected during registration and participation in the Conference (including name, contact details, organisation, and job title) will be used for the purposes of:

  • Managing your participation in the event;
  • Providing event updates and logistical information;
  • Facilitating networking among participants (e.g., through attendee lists as described in Section 7);
  • Post-event communication, feedback collection, and analysis;
  • Marketing future conferences or related events (as discussed in 7.2.)

10.3. Personal data will be stored securely and will not be shared with third parties without your consent, except where necessary for the administration of the event or where required by law.

10.4. You have the right to access, correct, or request the deletion of your personal data, and to withdraw your consent at any time by contacting enquiries@abmec.org.uk. We will confirm deletion of your personal data through an e-mail.

  1. Competition Law Compliance

11.1. All participants must comply with applicable competition and antitrust laws during all Conference activities, including formal sessions, informal discussions, and networking events.

11.2. The Conference is intended to provide a lawful and open forum for discussion and knowledge sharing. Discussions or exchanges of information that could be seen as anti-competitive or that could facilitate collusion between competitors are strictly prohibited. This includes, but is not limited to, discussions about:

  • Prices or pricing strategies,
  • Terms and conditions of sale,
  • Market allocation or customer sharing,
  • Boycotts of customers or suppliers,
  • Output restrictions or production plans.

11.3. The Organiser will not tolerate any behaviour that may be perceived as a breach of competition law and reserves the right to take appropriate action, including immediate removal from the event without refund.

11.4. If you are unsure whether a discussion or activity may raise competition law concerns, you should seek guidance from a legal advisor or avoid the discussion entirely.

  1. Golf Event

12.1. Attendance at the golf event as part of the Conference program is subject to the terms and conditions of Forest Pines Golf Club. 

12.2. By registering for and participating in the golf event, you acknowledge and agree to comply with all applicable Forest Pines Golf Club Terms and Conditions, including but not limited to conduct, dress code, safety, and liability requirements.

12.3. The Organiser accepts no responsibility for incidents, injuries, or disputes that occur during the golf event. All liability remains with the participant as per the policies of Forest Pines Golf Club

13. Exhibitors

13.1. Exhibitors participating in the Conference must comply with all event rules, health and safety regulations, and instructions issued by the Organiser or venue representatives.

13.2. If exhibitors are bringing electrical equipment, it must have a valid PAT test for anything bigger than a laptop.

13.3. If Exhibitors are bringing anything more than stationary (pamphlets on their company or stationery “freebies” as examples) a risk assessment must be provided to the organisers one week prior. It should also be available on the day at the conference should the venue representatives wish to see it.

13.4. The exhibition space is on the ground floor. The space for exhibition of larger items is for members only and will be outside the venue. Please contact us to discuss size and accessibility and we will discuss with the venue on your behalf. 

13.5. Exhibition space will be allocated at the Organiser’s discretion and must only be used for the purposes agreed upon in advance. Subletting or sharing space without written consent from the Organiser is not permitted.

13.6. Exhibitors are responsible for the setup, staffing, and removal of their exhibition displays within the designated times. Late removal may incur additional charges.

13.7. The Organiser is not responsible for any loss, theft, or damage to exhibitor property. Exhibitors should arrange appropriate insurance coverage for their materials and displays.

13.8. Exhibitors must ensure that their activities do not disrupt the Conference or infringe on the rights of other participants. The Organiser reserves the right to remove or restrict any exhibit that is considered unsafe, inappropriate, or non-compliant.

13.9. Any promotional materials distributed at the event must be accurate, lawful, and not misleading. Exhibitors are responsible for the content they share and must ensure it does not violate any third-party rights.

13.10. Exhibitors must comply with all applicable data protection laws when collecting or processing personal data during the event.
