ABMEC is committed to respecting and protecting your personal data and privacy. The purpose of this Privacy Notice is to explain how and why we process personal data about people who visit and use our website, join our organisation and use our services, who we share it with and what your rights are under the Data Protection Act 2018. This notice is effective from 25 April 2022.
We will keep this Privacy Notice under regular review and may update it from time to time. We would encourage you to visit this page regularly to keep informed about the purposes for which we process your information. We will advise ABMEC members of any major changes to the Notice.

How do we collect information from you?
Members
If you choose to become a member of ABMEC we request the following information from you:
- Business contact details (we register you on the website, using name and email address only to allow you to access Members only content).
- Information on the company (not held on the website)
- Promotional information – this is provided by yourselves and is what we use in the Members section of our website. This can be updated and changed at any time.
We do put up Member news on our website in the News section. This has either been provided by yourselves to ABMEC, or it is information we have found off your website or LinkedIn posts. Members may ask us not to include publicly sourced updates by contacting us.
Website Users
Some information will be collected automatically as you browse our website pages via cookies. The website also provides a number of online contact forms which you may use to send us your enquiries about membership of the Association and our services, register for events and make use of other website functionality.
Event Attendees
To attend our conference we require a registration form to be completed. This contains your personal information, company you work for, events attending and any accommodations you may require (dietary or accessibility).
What personal data do we process?
We collect and process various categories of personal information depending on how you interact with us. We limit the collection of the information and processing to that necessary for us to achieve one or more legitimate purposes as identified below in information.
The personal data we collect may include the following:
- Basic personal information
- Contact information including business address, email address, phone number
- Employment information, including job title, place of work, professional biography
- For events we also collect dietary and accessibility information to ensure that we are meeting your needs at events
- Online profile and activity information including Internet Protocol (IP) address, location coordinates, social media links, website searches and visits.
We do not collect or store any financial data via our website. All financial transactions are completed via invoices or, in limited circumstances, PayPal.
How is this information used and who do we share it with?
Members
We require this information to understand our members needs and provide them with the service agreed to as members, including:
- Advise members of events, both internal and external, that may be of interest to themselves and the company
- Provide regular news updates through our weekly emails
- To pass on information that we believe may be of interest to you.
- To send you AGM agenda papers and minutes
- To send you surveys or requests for information
- Internal record keeping and statistics.
Currently member information is stored on a database and will shortly be transferred to a GDPR compliant CRM system (details will be provided here when in place).
Website Visitors
We require this information to administer the online account and we only process the information provided by visitors when they subscribe. This is to allow us to register interested parties on the website. This is saved on the website system, registered users may be contacted with information about ABMEC events, specifically our annual conference. Through Google Analytics it generates statistics on areas of interest in the website, so we know where to focus our efforts, based on interest levels.
Event Attendees
We collect the personal data of attendees for the purpose of event administration, we only process the information provided by registrants from the conference registration page. Data may be shared with the event committee in terms of numbers, but no personal information is ever shared. We do share limited personal information with third parties, such as the venue and caterers, where required to ensure safety (for example allergy and accessibility information). This is to ensure that we provide the safest events possible for attendees.
Third-party sharing
Your personal data may be shared with third party service providers when it is absolutely necessary. We will only ever provide them with the information relevant to deliver that specific service and will ensure that their contract requires them to adhere to the use of your information as set out in this policy. For example, if you register for an event and have a dietary or accessibility requirement then we will share this information with the venue ahead of time to ensure that your needs are met. This also includes when you register as a user on our website with the third-party provider who hosts and maintains our website. Please contact us if you would like details of our third-party provider.
We do not, and will not, share it to third parties unnecessarily or sell any personal information.
Security
We use organisational, administrative and technical security measures to safeguard your personal information and help ensure that it is processed promptly, accurately and completely. We employ service providers who act as data processors on our behalf to safeguard your personal information and only use it for the purposes we specify.
Your rights
Under the Data Protection Act 2018, you have the right to update, erase, change or correct your personal information.
You can also:
- Withdraw your consent for our use of your information, where our processing is based on your consent
- Restrict and/or object to the use of your personal information.
You have the right to request a copy of the information we hold about you. Please contact us at the address given at the end of this policy.
